Set up charging time refunds and understand their impact on driver billing and receipts

Configure time-based refunds in rate plans and see how they affect driver billing across the app, Scan to Charge, receipts, and statements.

What is a charging time refund?

A charging time refund allows you to reimburse drivers for the time spent actively charging, helping reduce or eliminate parking costs associated with the session.

This feature is especially useful for:

  • Complying with local regulations (e.g., New York Local Law 55).

  • Offering incentives in parking garages or public lots.

  • Promoting EV adoption through customer-friendly pricing.

The refund is applied based on the charging duration and can only be deducted from the cost of the session—it cannot exceed it.

How to set up charging time refunds in the back office

  1. Go to Back Office → Rate Plans → Add/Edit Rate Plan.

  2. Locate the Charging time refund field.

  3. Enter a refund rate per 15 minutes (e.g., $2/15min).

  4. Save the changes by clicking Apply.

Key behavior:

  • The feature is available only for all rate plans except "Standard/Boost".

  • Refunds are calculated based on the total charging duration, rounded up to the nearest 15-minute interval.

  • The refund appears in the Fees column of the rate plan table.

  • A new Refund column (negative value) is added to the Transactions tab and the Account Statement sub-tab.

  • Refunds are capped at the cost of the session. Drivers will never receive a refund that exceeds what they were charged, and no amount is refunded to the driver’s credit card.

💡 Tip: You can assign different rate plans to Scan to Charge users and monthly subscribers to control who receives refunds.

Impact on account and driver statements

Refunds are fully reflected in account and driver statements:

Driver statements:

  • Refunds are deducted from both:

    • The Total Charging Fees summary.

    • The individual transaction rows.

Account statements:

  • Refunds appear in two places:

    • The Total Pre-Tax Amount shows the refund deduction in the summary section.

    • The Charging Cost column in the transaction breakdown reflects the refund as a reduction.

Impact on invoices and receipts

  • Refunds are displayed as a separate line item labeled “Parking Refund.”

  • If the refund fully offsets the session cost, no invoice is issued.

  • If the refund is partial, the invoice or receipt shows the adjusted total after the refund.

Driver experience in the app and via Scan to Charge

Driver App:

  • Before a session begins, the Charging Time Refund appears in the pricing breakdown.

  • If the refund fully offsets the session cost, the final charge appears as $0 in the Transactions History screen.

  • Confirmation messages and in-app notifications are updated to reflect when no invoice is issued due to a full refund.

This feature helps meet compliance requirements, improves transparency across all driver touchpoints, and supports flexible pricing strategies across private and public EV charging environments.
